Privacy Notice
VIVALDI Services protects the confidentiality of the information and documents it receives. This notice explains what data is processed, why it is used and how you can exercise your rights.
1. Data controller

2. Personal data we may process
Identification and contact data: name, email address, telephone number or WhatsApp.
Request information: languages, service type, message, instructions and information required to prepare a quote.
Documents voluntarily submitted by the user, which may contain identification, civil-status, academic, professional, financial or other personal data.
Some documents may contain sensitive personal data. VIVALDI Services requests only information necessary to assess the request and recommends not sending sensitive data that is not required.
Minimal technical information related to form security and spam or abuse prevention.
3. Purposes of processing
Assess the request and prepare a quote.
Determine the appropriate type of translation or service.
Contact the requester for clarification, quotation, follow-up and, where applicable, performance of the service.
Receive, temporarily store and review submitted documents.
Protect the form and website against spam, abuse and unauthorized access.
Comply with applicable legal or contractual obligations.
4. Sensitive personal data
VIVALDI Services does not request sensitive data for an independent purpose. Certain documents may nevertheless contain such data when necessary.
Where a submitted document contains sensitive personal data necessary to assess the quote, the user must provide express consent through the dedicated checkbox in the form.
Such processing is limited to the specific purpose for which the information was submitted and to the minimum necessary period.
5. Retention
Documents submitted solely for a quote request are stored temporarily and scheduled for deletion within a maximum of 30 days when no service is purchased.
If a service is purchased, only the documents and data required to perform the service and meet applicable legal or contractual obligations will be retained, and will later be blocked or deleted as appropriate.
6. Technical service providers
VIVALDI Services uses technical service providers, including Cloudflare for hosting, security and private file storage, and Resend for form notifications.
These providers receive only the information necessary to perform their technical function and are not authorized by VIVALDI Services to use it for incompatible independent purposes.
7. Disclosure to third parties
VIVALDI Services does not sell personal data.
Personal data will not be disclosed to third parties for their own purposes without consent, except where required by law or otherwise permitted under applicable rules.
If referral to a lawyer, accountant, notary, immigration specialist or other professional is needed, personal data will not be shared with that professional without prior authorization, unless required by law.
8. ARCO rights, withdrawal of consent and restriction
You may request access, rectification, cancellation or opposition regarding your personal data, withdraw consent or request restriction of use by writing to [email protected].
The request should identify the data subject, state the right being exercised and clearly describe the data or processing concerned. Reasonable proof of identity or representation may be requested.
VIVALDI Services will respond within the time limits established by applicable law.
9. Security and confidentiality
Reasonable administrative and technical safeguards are used to reduce the risk of loss, misuse, unauthorized access or disclosure.
Documents uploaded through the form are stored in a private environment and links generated to access them are temporary.
10. Changes to this notice
Changes to this Privacy Notice will be published on this page. Where a change materially affects the purposes or conditions of processing, renewed consent will be requested where legally required.
